Everything You Need to Know About Travel Insurance

When You’re Covered

If you’re currently enrolled as a student, you can take advantage of the University’s travel insurance policy as long as your travel meets the following criteria:

  • The travel is curriculum-related and contributes to the completion of your enrolled degree, such as student exchange programs, vocational placements, and research fieldwork.
  • The travel has been formally approved by your faculty or school before your departure. Make sure to obtain written confirmation of the approval from the University for insurance claims.
  • You are representing the University, such as participating in pre-approved sporting or debating teams.

It’s important not to provide copies of insurance certificates to external organizations unless the activity has been approved by the University. The University’s insurance coverage is only available for activities that have been approved in writing before they commence.

There is a $3,000 excess on non-medical expenses, which will be borne by the faculty or school. Make sure you understand what’s covered and the costs that will be refunded by the University before you travel.

The insurance cover will last for the duration of your course or placement, including any additional days at the start or end that are deemed appropriate. These additional days can be up to a maximum of one week (7 days) on either end of the approved activity. If you plan to undertake personal travel during these additional days, it’s recommended to take out a separate policy for that period.

Personal Travel

Please note that periods of extended personal travel taken before, during, or after the approved University travel activity are not covered by the insurance. However, personal travel on weekends will be covered if you are completing an approved exchange and traveling during the exchange period.

In situations where you’re not covered by the University’s travel insurance, it is recommended to consider taking out your own travel insurance. Most insurers will require you to have your own travel insurance for the entire duration of your trip, including the portion covered by the University. Having dual coverage does not affect your ability to make a claim.

You can purchase separate personal travel cover at your own cost from an insurance provider.

Important Information about Iran and Cuba

Medical Conditions

If you have pre-existing medical conditions, you will need to provide a ‘fit for travel’ letter from your treating doctor. This letter should include details of your condition, how it is managed, and your suitability for overseas travel. Email a copy of this letter to [email protected] and keep it handy in case you need to make a claim.

Exclusions

If you are in Australia on a student visa or residing here temporarily, you are not covered for medical expenses if you travel back to your home country. The University’s student travel insurance also does not cover routine medical procedures (such as check-ups) or loss or damage to personal effects without evidence of theft.

COVID Cover

Losses caused by expected, known, and/or foreseeable events within the control of students may not be covered under the policy. However, medical benefits will continue to be paid subject to the policy terms and conditions. The insurer will assess individual instances on a case-by-case basis, taking into account all relevant circumstances.

Travel Advice and Security

For up-to-date information on overseas travel and security, you can visit AIG Travel Assistance. To register, use your University student email account as the username and the University’s Travel policy number 2200103398. Once registered, you’ll have access to the services provided by our travel insurer.

Global Mobility Travel Registry

If you are traveling overseas for University business, it is strongly recommended to enter your University-endorsed travel details into the Global Mobility Travel Registry at least 30 days before your departure. By registering your trip, you will receive important health, safety, and logistical updates and assistance before, during, and after your international trip. It will also enable rapid location and communication in case of an emergency, confirm that your trip has been authorized by the University (a requirement for coverage under the University’s travel insurance policy), and meet the conditions of scholarships and funding associated with University-endorsed travel.

How to Make a Claim

Effective from 4pm, October 31, 2019, the University has made changes to the way insurance claims are managed. The following policies have new claim excesses:

  • Corporate travel – $3,000 per claim. The excess does not apply to ‘overseas medical and additional expenses’ or ‘hospital cover’.
  • Personal accident – $1,000 per claim. Only claims for incidents with a value greater than the excess should be processed through the insurer.

Travel Claims

From October 31, 2020, students (including Higher Degree Research students) should lodge travel claims online. Follow these steps:

  • Click on ‘I have a Company Registration Code’.
  • Enter the registration code SYDU8DYAYYA5D.
  • Click on ‘Sign In’ and follow the prompts.

To ensure a smooth processing of your claim, make sure to submit adequate evidence such as copies of medical reports, invoices/receipts/proof of payment, police reports, itinerary, and authorization from the University to travel.

Corporate Services Network (CSN) is the appointed claims manager for processing, assessing, and payment of validated claims for all student claims. CSN acts on behalf of the University and AIG.

For non-medical related claims over $3,000, students will receive two separate payments from CSN for validated claims – one from the University ($3,000 excess) and the other from AIG (value over the excess).

Personal Accident Claims

For personal accident claims exceeding $1,000 since October 31, 2019, complete the personal accident claim form and send it to [email protected]. For claims below the excess amount, students should contact their relevant faculty, school, or department to assess the claims.
